DAT-MAIL - Undocumented - Getting Piece Data - Data Request Frequency Recommendations

Mailers are free to request data as frequently as they wish and in what manner (either Online Download or SFTP). However, Window Book recommends these basic guidelines for each receipt method:

  • Online Download: Once the requested data is made available, it is only available to the user for seven days on the IV-MTR site. After seven days, it is permanently lost. Based on this, a monthly download is recommended to most efficiently fulfill the purpose of the Undocumented Piece Audit Report. But to identify potential issues more quickly, a weekly request should be used. However, the mailer will have to remember to download the data within the seven days available before it is permanently lost.

  • SFTP Push: Using an SFTP server negates the seven-day limitation on data retention. Therefore, Window Book recommends requesting and pushing data to the SFTP server once per day to identify potential issues more quickly -- hopefully before they cross the undocumented assessment threshold.
